Privacy Notice — Rave'N'Fly Promo Pool

This notice explains how personal data is handled when you use the website and apply for or participate in the Rave'N'Fly Promo Pool.

Data controller

The controller is GTA GLASS Grzegorz Gulbiński (Rave'N'Fly Records). Privacy requests may be sent to [email protected] or [email protected].

1. Data we collect

We process information you provide in the Promo Pool form: name / DJ name, email, country, role, organisation, social/website profile, music genres and optional notes. We also store the communication language, whether it remained the default English or was explicitly selected, the time that explicit selection is recorded with the application where applicable, consent/terms/security timestamps and version numbers, confirmation and review status, promo delivery records, unsubscribe status, unique clicks on private promo links, private promo page access, playback/progress events, downloads, recipient identifiers used for promo security, and limited technical/server security data such as IP address where needed for Turnstile, rate limiting, abuse prevention and logs.

2. Purposes and legal bases

We use the data to process the Promo Pool request and provide requested electronic services (GDPR Art. 6(1)(b)); to send promotional music, commercial information and direct-marketing email where you have consented (Art. 6(1)(a), together with applicable electronic-communications consent rules); to maintain security, prevent abuse, protect unreleased material, document delivery/unique link activity and establish, exercise or defend legal claims where necessary for our legitimate interests (Art. 6(1)(f)); and to comply with legal obligations where applicable (Art. 6(1)(c)). Our legitimate interests are service security, rights protection, prevention and investigation of unauthorised redistribution, and keeping evidence of consent or withdrawal.

3. Language preference

The public website always starts in English. We do not infer your correspondence language from the browser. If you explicitly choose Polish or German (or explicitly reselect English) before submitting the Promo form, the chosen language and the fact of that choice are stored with the application. Confirmation, approval/rejection, unsubscribe pages and later Promo Pool campaigns use the stored language. If you make no language choice, English is stored as the default.

4. Recipients and service providers

Data may be processed by providers supporting the service, including home.pl for hosting, Namecheap Private Email for email delivery and Cloudflare Turnstile for anti-abuse/security verification, and by professional advisers or public authorities where disclosure is legally required. We do not sell Promo Pool personal data for third-party advertising.

5. International transfers

Some service providers may process technical or account data using infrastructure outside the European Economic Area. Where Chapter V of the GDPR requires safeguards for a transfer, the relevant provider/controller arrangements are used as applicable. Information about applicable safeguards can be requested from us; provider privacy documentation may also describe their transfer mechanisms.

6. Retention

Unconfirmed applications are automatically removed after 30 days from their last application update. Confirmed applications are kept while they are reviewed. Active recipient data is kept while the person remains in the Promo Pool. After unsubscribe, we may retain a minimal suppression/consent record so that the withdrawal is respected and compliance can be demonstrated. Rejected, removed, security and delivery/click records are retained only for as long as reasonably necessary for administration, abuse prevention, rights protection and potential legal claims, then deleted or minimised. Server and rate-limit records are kept only as long as required for their security purpose.

7. Required and optional data

Fields marked with an asterisk and the required acknowledgements are necessary to submit a Promo Pool application and verify that the recipient is suitable for the service. Organisation, profile and free-text notes are optional where indicated. If required information or consent to promo email is not provided, the application cannot be completed or promotional email cannot be sent.

8. Promo security and tracking

We intentionally do not use hidden email-open pixels. We may record campaign delivery, private promo access, playback/progress events, downloads and unique clicks on the private promo call-to-action. Promo access is individually assigned; delivered files may contain recipient-specific filenames, metadata, tokens or audio watermarking where that feature is used. These measures are intended to protect pre-release material and help investigate unauthorised redistribution.

9. Automated decisions

Promo Pool applications are reviewed manually. We do not make a decision producing legal or similarly significant effects solely by automated processing. Cloudflare Turnstile performs automated anti-abuse/security checks, but the label’s approval or rejection of the Promo Pool application remains a manual decision.

10. Your rights

Subject to the GDPR conditions, you may request access, rectification, erasure, restriction, data portability and may object to processing based on legitimate interests. You may withdraw consent at any time without affecting the lawfulness of processing before withdrawal. You have an unconditional right to object to direct marketing; the unsubscribe link in client emails stops Promo Pool marketing. You may lodge a complaint with the President of the Personal Data Protection Office (Prezes UODO) or another competent supervisory authority.

11. Source of data and contact

Application data is collected directly from you. Technical/security data is generated when you interact with the service or its security providers. For privacy requests contact [email protected] or [email protected].
